We are seeking an experienced Administrative Project Coordinator to manage all administrative aspects of the Cadia Tailings STSFX Project on a fixed-term basis.

This position involves facilitating the induction of contractors for field operations and providing comprehensive administrative assistance to the wider project team. The incumbent will collaborate closely with the project manager, cost controller, contractors, and various stakeholders to ensure timely completion of all administrative duties, meeting the expectations of all involved parties.

Our ideal candidate will possess a proven track record of effectively supporting large-scale projects, showcasing strong project administration skills, excellent communication abilities, and adept problem-solving capabilities.

Please note that this role offers flexibility, allowing for placement either in our Melbourne Office or Orange, NSW.

Key Responsibilities
  • Support project planning and delivery by facilitating communication between contractors and stakeholders.
  • Attend project meetings and arrange external meetings with stakeholders.
  • Assist project team with administrative tasks.
  • Manage onboarding/offboarding processes for contractors and project team members.
  • Coordinate mobilization of staff, consultants, and visitors including IT requirements and training.
  • Administer SharePoint and develop templates for project use.
Project Management Support
  • Record and distribute accurate meeting minutes.
  • Assist in developing project presentations and documentation.
  • Format, manage, and register documents and initiate approval workflows.
  • Assist with month-end reporting.
Project Services
  • Support project control by assisting with purchase requisitions, updating cost trackers, and managing contractor invoicing.
  • Assist document control team during peak periods and run Aconex reports.
  • Compile safety status reports for month-end reporting in CHESS.
Environment, Health & Safety
  • Demonstrate unwavering commitment to providing a safe and healthy work environment.
  • Implement appropriate risk assessment and management strategies in line with safety standards.
  • Ensure projects adhere to safety regulations, laws, and standards with zero tolerance for non-compliance.
  • Stay updated on emerging environmental and health and safety standards.
  • Communicate safety and environmental processes to partners, vendors, and contractors.
  • Lead by example in safety leadership through regular field interactions and participation in safety programs.
Requirements
  • Prior administrative experience, preferably within the mining industry, although candidates with backgrounds in non-mining administration are also encouraged to apply.
  • In-depth administrative knowledge with the ability to drill down on large volumes of data.
  • Ability to quickly format and style documentation into the Newmont standard.
  • Experience within SAP, CHESS, SharePoint and Aconex.
  • Proficient with Microsoft Office suite.
  • Proficiency in multitasking.
  • Capability to communicate effectively with a diverse array of internal and external stakeholders.

The successful candidate can expect a competitive salary range of AU$80,000 - AU$110,000 per annum, depending on experience.
