Bid and Tender Coordinator Role

We are seeking an experienced Bid and Tender Coordinator to join our team. This is a unique opportunity to work with us in managing the end-to-end lifecycle process for our bid and tenders portfolios.

As a key member of the team, your role will be to support the Bid Manager to ensure high-quality proposals are delivered on time by the team and that our document library remains relevant and up to date.

  • Primarily assist with logistics surrounding tenders, establishing and maintaining our tender team site, and managing users.
  • Schedule and organise gate review/approval meetings, kick-off meetings.
  • Develop and maintain tender tracking tools to track opportunities and ensure completion of documents on time to meet deadlines.
  • Support the bid and tender team to develop and grow our bid and tender knowledge library and user interface using internal and external enterprise systems.
  • Maintain all client communications and addenda to update the bid team.
  • Assist with tender document management, clarification management, and ensure all bid team members have access to the latest versions of client and internal documents.
  • Assist with development of bid and tender responses as required.
  • Oversee the final proposal submission/upload process and record receipts.
  • Undertake post-bid analysis processes to develop our bid and tender library.
Your Skills and Qualifications
  • Strong administrative and organisational skills and attention to detail.
  • Strong communication skills both verbal and written.
  • Great 'can do' attitude, great team player, great collaboration skills.
  • Sound experience with Microsoft Office Suite, CRM's, and ideally SharePoint + Teams experience.
  • Experience in bid and tender coordination and management.
  • Experience working with document management systems.
  • Experience with and management of online portals and panels.
  • Ability to work in a team or autonomously.
  • Experience reporting to a Manager.
