Ampersand is partnering with the Melbourne office of a leading property consultancy who are looking to appoint a bids & proposals coordinator to help drive new revenue opportunities, but also someone who can support with office management duties to keep operations running smoothly.

Reporting into the Director, this hybrid role combines office management, operational coordination, and bid support. You'll be the heartbeat of the Melbourne office, ensuring everything runs seamlessly while contributing to growth initiatives nationwide.

What you'll do:

Bid & Proposals Support

  • Develop, compile, and manage tender submissions and fee proposals nationally.
  • Write, edit, and format persuasive proposals, capability statements, and supporting documentation.
  • Coordinate inputs from internal teams, including marketing, design, and subject matter experts.
  • Maintain and update templates, CVs, project profiles, and case studies.
  • Conduct research to inform proposals and ensure submissions are timely, accurate, and compliant.

Office Operations & Administration

  • Oversee all Melbourne office operations, including IT, suppliers, premises, and WH&S compliance.
  • Handle reception duties, meeting coordination, travel arrangements, and day-to-day administrative tasks.
  • Manage office logistics including stationery, kitchen supplies, courier services, and budgeting.
  • Organise internal events and liaise with marketing on client-focused activities.
  • Act as the primary liaison with building management and ensure a safe, professional workplace.

  • Proficiency in MS Office and Canva
  • Experience in proposal writing and a passion for communications
