Front Office Role Overview
WT Partnership is seeking a skilled and enthusiastic Front Office Coordinator to manage the front of house of our Sydney office.
This diverse role will primarily maintain a high-performing office space, act as the first point of contact for internal and external stakeholders, provide administrative assistance to the office, build relationships across the business, and drive our workplace experience function.
Key Responsibilities
- Professionally interact with staff and clients, providing exceptional workplace experiences and ensuring that the front office is run smoothly.
- Champion our Job Support program and provide coaching, guidance, and supervision to our Job Support employee.
- Receive and direct incoming calls to appropriate staff and voicemails; taking messages as required.
- Assist in the organisation, coordination, and managing of corporate functions and events.
- Provide ad-hoc assistance to staff, including general data entry, research, and errands.
- Accurately type, prepare, and maintain documents and records.
- Manage the office and kitchen supplies and liaise with cleaning and building maintenance to ensure the highest standards are upheld.
- Book meeting rooms, arrange catering, and assist with AV equipment setup.
- Organise couriers, manage the daily incoming and outgoing mail.
- Champion WT workplace experience programs and assist in driving the coordination of various workplace activities and events.
- Assist People and Culture with new starter onboarding.
- Collate reports and other documentation, including copying, binding, and typing documents aligning with the WT brand.
Requirements
- Experience in a customer service and front of house role in a professional environment.
- A professional, warm, confident, and positive approach.
- The ability to communicate effectively to build relationships with internal and external stakeholders.
- An excellent telephone manner and presentation skills.
- The ability to handle challenges with a mature and can-do attitude.
- Exceptional time management and prioritisation skills with a strong attention to detail.
- Competency in MS Office (Excel, Word, PowerPoint, Outlook).
- A flexible attitude who's reliable, energetic, punctual, and motivated.
- A continuous improvement mindset and the desire to build the WT culture and workplace experience.
