We are seeking a highly organized and detail-oriented Administrative Support Coordinator to join our Brisbane-based team at Whizdom Recruitment.

**Job Summary:**

This is a full-time position responsible for providing high-level administrative support to ensure the smooth functioning of our services.

**Key Responsibilities:**

  • Provide comprehensive administrative support to the team, including answering phones, managing emails, and coordinating calendars.
  • Assist with scheduling appointments, client onboarding, and communication between clients, families, and staff.
  • Maintain accurate client records in compliance with NDIS and company standards, ensuring data integrity and confidentiality.
  • Process NDIS-related documentation, including service agreements, consent forms, and reports.
  • Use practice management software to manage invoices, NDIA/PACE claims, and coordinate financial documentation.
  • Provide support with invoicing, processing payments, and following up on outstanding payments.
  • Assist with the coordination of internal meetings, workshops, and training sessions.
  • Maintain office supplies, assist with equipment and IT troubleshooting, and perform general office duties.
  • Provide backup support to the finance team as required.
  • Collaborate with other team members to continuously improve administrative processes and workflows.

**Requirements:**

  • Previous experience in an administrative role, ideally within the healthcare or NDIS sector.
  • Familiarity with NDIS frameworks, service agreements, and claims processing (desirable but not essential).
  • Strong organisational skills and the ability to manage multiple tasks and priorities in a fast-paced environment.
  • High level of accuracy and attention to detail, particularly in data entry and financial processes.
  • Excellent communication and interpersonal skills, with a customer-focused approach.
  • Proficiency in using Microsoft Office Suite and practice management software.
  • Ability to work autonomously as well as collaboratively within a team environment.
  • Problem-solving mindset, proactive, and willing to take initiative.
