Job Summary:

We are seeking an Administrative Support Coordinator in our Brisbane office support team. This is a hands-on role that involves providing administrative assistance to the KordaMentha Brisbane office.

Key Responsibilities:

  • Provide daily administrative support to the office, including opening reception and client meeting rooms, collecting newspapers, restocking supplies, and ensuring the kitchen is clean and tidy
  • Answer incoming calls, transferring them to the relevant staff member, and taking detailed messages when required
  • Greet and announce visitors and clients, making tea and coffee for meetings as needed
  • Maintain a clean and organized reception area, kitchen, and meeting spaces at all times
  • Manage meeting rooms, setting up teleconferencing and video conferencing equipment, and ensuring stationery stock is available
  • Coordinate the provision of consumables, ordering supplies as required, and performing a full stock take before placing each order
  • Promptly order ASIC/PPSR searches and Title Searches through Equifax
  • Regularly discuss upcoming administration requirements with other departments and groups
  • Assist staff and Executive Assistants with large mailouts, including mail merging labels and franking envelopes
  • Support Executive Assistants with document finishing tasks, such as scanning, photocopying, faxing, and binding reports and documents

Required Skills and Qualifications:

  • 1-2 years' experience in a similar role is essential
  • Excellent telephone manner
  • High level of professionalism
  • Client service orientation
  • Intermediate Microsoft Office skills, including Word, Excel, PowerPoint, and Outlook
  • Ability to manage areas of responsibility and take initiative
  • Flexibility in working hours and adapting to changing priorities
  • Attention to detail and proactive approach
