We are seeking an experienced and detail-oriented Operations Manager to oversee kitchen operations for Remote Staff. The ideal candidate will have a good understanding and working knowledge of OHS&R and Quality Assurance Systems and the ability to work effectively with minimal supervision.

Key Responsibilities:
  • Kitchen Operations:
    • Virtual Coordination: Oversee and coordinate all kitchen activities remotely, ensuring they run efficiently and to the client's satisfaction.
    • Ensure strict adherence to Kosher (Chalav Yisrael) and HACCP protocols.
    • Menu Planning: Prepare menus at least 48 hours before each event using virtual tools and software.
    • Utilize Technology: Use donated products effectively, tracking inventory through virtual systems.
    • Remote Procurement: Order raw materials, ingredients, and packaging from approved suppliers, prioritizing cost efficiency, using online procurement systems.
    • Volunteer Coordination: Utilize and coordinate volunteers/WFD/CS personnel virtually, ensuring they have activities and are supervised through remote management systems.
    • Digital Record Keeping: Maintain records for external groups or persons entering the kitchen (e.g., WFD, CS, School groups) using digital logs.
    • Ensure caterers and other kitchen users adhere to their agreed terms and conditions through remote monitoring.
    • Security Protocols: Ensure virtual security protocols for kitchen operations are in place and followed.
    • Participate in systems development and implementation (e.g., Netsuite) virtually.
  • Stock Control:
    • Maintain order in storage areas for kitchen equipment, dry goods, fresh produce, and frozen goods using remote inventory management systems.
    • Digital Verification: Verify accuracy of quantities in all deliveries through online systems.
    • Accurately receive and store goods in designated locations, ensuring proper virtual documentation.
    • Paperless Processing: Process all paperwork in accordance with company procedures digitally.
    • Pack and label products as required by relevant authorities, using remote tracking and labeling systems.
    • Utilize FIFO (First In, First Out) system for products wherever possible, tracked through virtual inventory systems.
    • Prepare for and assist with stocktakes as required, conducted through remote coordination.
  • Safety/Quality:
    • Understand and adhere to the company's OHS&R Policies and Procedures and Quality Systems remotely.
    • Perform duties according to the company's safety and quality standards.
    • Report any potential kitchen hazards promptly to the CEO using digital communication tools.
    • Maintain a clean, tidy, and safe kitchen environment through virtual oversight.
    • Wear appropriate food handling and safety equipment at all times when onsite.
    • Inspect goods for quality defects and discard non-usable products using remote systems.
    • Ensure kitchen equipment is maintained in safe working order, monitored virtually.
    • Display and adhere to Safe Operating Procedures for all equipment.
    • Keep current MSDS and Risk Assessments readily available on-site and virtually accessible.
    • Adhere to use-by dates for all products, tracked through inventory systems.
  • Event Management and Reporting:
    • Virtual Staffing Allocation: Allocate staffing for events, maximizing volunteer use through remote coordination.
    • Ensure food selection and quantities meet event requirements, managed through digital planning tools.
    • Prepare and deliver meals to various agencies as required, coordinated remotely.
    • Meet specific institutional requirements for meal preparation using virtual systems.
    • Remote Packing: Pack meals into takeaway containers and crates for storage and distribution, managed through virtual tools.
    • Prepare operating budgets for kitchen operations digitally.
    • Prepare monthly reports for the CEO and Advisory Board.
    • Attend monthly management meetings as required, virtually.
  • People Management:
    • Meet regularly with kitchen staff to discuss concerns or issues through virtual meetings.
    • Maintain a harmonious team environment among all employees through remote team-building activities.
    • Delegate tasks to direct reports based on skill level, ability, and experience using virtual management tools.
    • Ensure the kitchen is a safe and supportive environment through remote oversight.
  • Cross Functional Support/Training:
    • Assist other company personnel as required/requested, remotely.
    • Carry out other duties and responsibilities as requested by management.
    • Participate in relevant training programs as requested by the company, conducted virtually.
    • Stay informed and up-to-date with current industry technology.
