Role Overview
This critical role oversees the successful execution of various conference logistics, including venue management, supplier relationships, program development, and on-site coordination.
Key Responsibilities:
- Research and evaluate potential venues to ensure suitability and compliance with client requirements.
- Negotiate contracts with suppliers while maintaining effective communication with the conference manager.
- Coordinate logistics for the conference, ensuring seamless event planning and execution.
- Oversee the production and distribution of conference materials, signage, and promotional items, which are essential for promoting the event.
- Develop and manage networking opportunities, such as social events and interactive sessions, to foster meaningful connections among delegates and clients.
- Collaborate with internal departments to develop an engaging and relevant conference program that meets the needs of all stakeholders.
- Liaise with speakers, presenters, and session chairs to coordinate schedules, presentations, and AV requirements.
- Design and manage conference mobile apps or online platforms for program scheduling and attendee engagement.
- Manage speaker logistics, including travel arrangements, accommodation, and reimbursements.
- Oversee the program schedule and proactively address any conflicts or issues that may arise during the conference.
- Provide onsite support during conferences, addressing any issues that may occur and finding timely solutions to challenges.
- Conduct post-conference evaluations and surveys to gather feedback from attendees and improve future events.
- Excellent customer service skills and attention to detail are crucial in this role.
- Ability to work collaboratively in a team and independently when required.
- Project Management experience is highly valued in this position.
- Exceptional problem-solving and critical thinking skills are necessary for success in this role.
- Occasional travel for events may be required.
- Effective oral and written communication skills are essential for stakeholder management.
