About the Role

The Accounts Officer will play a crucial role in supporting the day-to-day financial operations of our company. This includes ensuring the smooth processing of invoices, statements, and debt collection efforts. The successful candidate will be responsible for accurately managing the invoicing process, addressing any payment issues, and assisting in the tracking and monitoring of Work in Progress (WIP) reports in collaboration with the team.

Key Responsibilities

  • Manage the invoicing process, ensuring that all statements are issued accurately and on time. Investigate and resolve any issues with outstanding payments.
  • Monitor outstanding debts and implement strategies for effective debt collection, ensuring timely payments from clients.
  • WIP (Work in Progress) Reports: Collaborate with engineers to track and monitor Work in Progress (WIP) reports. Ensure jobs are invoiced correctly and promptly, holding engineers accountable for their financial responsibilities.
  • Effectively communicate with team members, clients, and stakeholders, providing clear and concise financial updates and resolving any issues promptly.
  • Maintain a well-organised and efficient finance department, ensuring all financial records are up to date and easily accessible.
  • Assist when needed with general administrative duties, including answering phones, managing office supplies, and supporting other departments as needed.
  • Utilise Excel and Word to create, manage, and analyse reports, ensuring data integrity and accuracy.
  • Any additional ad-hoc duties as and when required.

Required Skills, Knowledge and Experience

  • Proven experience in a finance role, preferably within a professional services or consultancy environment.
  • Strong experience with invoicing, statements, and debt collection.
  • Proficient in Xero with a solid understanding of accounting principles.
  • Experience working with WIP reports and holding team members accountable for their financial responsibilities.
  • Excellent communication skills, both written and verbal.
  • Exceptional organisational skills with a keen eye for detail.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Proficiency in Microsoft Excel and Word.
  • Ability to assist with general administrative tasks as needed.
