Delivering exceptional administrative support is at the heart of this Project Support Officer role. Our ideal candidate will be a proactive and detail-oriented individual who can provide timely and professional responses to helpdesk queries, troubleshoot common issues, and ensure stakeholders receive accurate and helpful information.

About the Role

This exciting opportunity will see you supporting the planning and delivery of Primary Health Care projects by maintaining project planners, scheduling stakeholder visits, processing invoices, and assisting with RACGP-approved clinical audits. You will also play a key role in drafting and updating project-related communications, including webpages, newsletters, and stakeholder resources. Your excellent communication and interpersonal skills will enable you to effectively liaise with internal teams and external stakeholders.

Your Key Responsibilities
  • Provide first-point-of-contact support for helpdesk queries, responding promptly and professionally via phone and email. Identify and escalate complex issues as necessary, ensuring stakeholders receive accurate and timely information.
  • Collect, validate, and enter data into CRM systems, maintaining accurate records and supporting reporting requirements. Ensure seamless integration across systems to inform business decisions.
  • Support the successful delivery of Primary Health Care projects by coordinating logistics, scheduling stakeholder visits, and processing invoices. Collaborate with internal teams to deliver effective event support and presentations.
  • Draft and update project-related communications, including webpages, newsletters, and stakeholder resources. Apply your creativity and writing skills to engage diverse audiences and promote organizational goals.
  • Provide secretariat support for advisory and committee meetings, including agenda preparation, minute-taking, and action tracking. Ensure timely follow-up on actions and maintain transparent communication channels.
The Ideal Candidate

We are seeking an experienced and skilled Project Support Officer who can contribute their expertise and enthusiasm to our team. The successful candidate will possess:

  • A demonstrated track record in an administrative or project support role, preferably within health or community services.
  • Excellent communication and interpersonal skills, with the ability to liaise effectively with internal teams and external stakeholders.
  • Proficiency in digital business systems, including CRM's and Microsoft 365 (Planner, Teams, Outlook, SharePoint).
  • Ability to manage competing priorities, meet deadlines, and maintain attention to detail in a fast-paced environment.
  • Understanding of primary health care settings, including general practice, aged care, and allied health, and a commitment to continuous improvement.
