About the Opportunity

We are seeking an Administrative Services Coordinator to join our IT Governance team in Australia. The successful candidate will be responsible for managing administrative services related to center management for Pacific Fair.

This role requires strong organizational and communication skills, as well as the ability to work independently and collaboratively as part of a team.

About the Job
  • Coordinate and manage administrative services related to center management, including Reception/Front of House duties, Greeting visitors, answering phones, ordering stationery, maintaining kitchen amenities, managing meeting rooms, and in/outgoing mail.
  • Raise invoices, receipts, and purchase orders as required, and enter details into finance systems for processing.
  • Prepare calculations for various income streams, including turnover rent, extended trade, mailbox income, hoarding fees, defits, interest, surrender income, etc., as per management request.
  • Prepare center communications for distribution to tenants and other stakeholders, including issuing and filing letters of demand and breach notices.
  • Process lease assignments, including issuing the assignment pack and associated correspondence, ensuring required forms are obtained prior to or at settlement of the business.
Key Responsibilities

The successful candidate will be responsible for:

  • Managing the day-to-day operations of the Center Management office.
  • Providing excellent customer service to tenants and other stakeholders.
  • Preparing and processing financial documents, including invoices, receipts, and purchase orders.
  • Coordinating and implementing marketing campaigns and events.
Requirements

To be successful in this role, you will need:

  • Prior experience in an Administration role within a commercial environment.
  • Well-honed problem-solving skills and a high level of initiative.
  • Excellent attention to detail, combined with the ability to manage multiple projects and tasks, and build effective working relationships.
  • Exceptional communication skills, as well as strong skills across the MS Office suite, Adobe Acrobat, and exposure to other software such as SAP, CTI, and Salesforce.
