Job Summary

We are seeking a part-time Workplace Coordinator to be based on-site with our client in Perth. The main focus is maintaining an outstanding level of service in the facilities and administration business areas.

Key Responsibilities

  • Provide superior customer service to meet on-site client expectations
  • Provide vendor management support by ensuring subcontractors perform to the required standards (including inspection of vendors' works)
  • Assist in the procurement of vendors and services as required
  • Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner
  • Provide support for conferences by coordinating conference room booking and preparing conference rooms for meetings, including ordering catering as required
  • Perform weekly consumables order; receive and store as required; and provide receipts to PFM for records
  • Oversee site cleanliness and provide direction to cleaning staff to ensure spaces are kept clean and tidy
  • Organise specialty cleaning as required
  • Provide administrative support to Contract Administrator as required to ensure staff obtain and maintain security clearances

Health, Safety and Risk Management

  • Under direction of PFM, assist in conducting regular audits to ensure that safety procedures are being complied with
  • Assist in carrying out safety procedures when needed
  • Assist in the property risk management program
  • Participate in the disaster recovery and business continuity plans as required
  • Follow established escalation procedures and incident reporting procedures
  • Adhere to JLL's business conduct by ensuring compliance with the firm's guidelines, procedures and strategies

Requirements

You'll have a minimum of 1+ years' experience in facilities or administration within a similar corporate high-volume environment. You'll be a confident and highly presentable individual who presents a professional, corporate image who demonstrates a proactive and professional approach to customer service. We're looking for a self-motivated starter who can work independently as well as in a team and has a proven ability to prioritise and manage the completion of tasks in an efficient and timely manner.
