Role Overview

This is a Team Assistant role with one of the leading companies in Australia, Allianz Australia. The primary purpose of this role is to provide administrative and organizational support to the Transformation team.

Main Responsibilities
  • Diary management to make and coordinate appointments and schedules.
  • Meeting logistics coordination, including correspondence, agendas, and distributing minutes and action items.
  • Organizing team events, business engagements, functions, and travel arrangements.
  • Collating and reconciling evidence to support expense claims in accordance with Allianz Australia's processes.
  • Producing correspondence, communications, presentations, confidential documents, spreadsheets, and reports on behalf of the leadership team.
  • Administering and maintaining databases, document control, and filing systems in accordance with Allianz Australia's procedures.
  • SUPPORTING invoice processing and onboarding of new staff into the team, ensuring system access and setup.
About You

We are looking for someone with:

  • Demonstrated experience providing team administration support in a corporate environment.
  • Excellent verbal and written communication skills, with the ability to communicate with clarity, impact, and influence.
  • Proven technical proficiency with systems, software, databases, reporting, and communication tools.
  • High attention to detail, ensuring tasks are completed with thoroughness and accuracy, and the ability to quickly identify errors or inconsistencies in information.
  • Effective planning and prioritization skills, with the ability to organize tasks and manage competing resources and demands.
  • Ability to manage internal stakeholder expectations.
