Job Overview

The Operations Coordinator will provide administrative support to the Regional Director and Event Leads on all tasks throughout the event planning cycle. This role is crucial to the overall planning of events, ensuring the Event Leadership and Operations teams are running smoothly.

This position requires a proactive and organized individual with strong communication and administrative skills. The ideal candidate will have experience in an administrative or event planning role, with a keen interest in event operations and a willingness to learn.

Key Responsibilities:
  1. Coordinate regular meetings with internal departments, local teams, and stakeholders, managing scheduling, agendas, and note-taking as requested.
  2. Liaise with the Central Support team to support general administrative tasks for smooth operation.
  3. Create and maintain event presentations and planning decks, including event concepts, event guides, recaps, and feedback.
  4. Support project management software, working closely with the events team to ensure accountability and progress.
  5. Assist the Regional Director and Event Lead with tracking and upkeep.
  6. Support the operations team in creating event schedules and run-of-shows.
  7. Provide central administrative support between Event Leadership, Procurement, Finance, and Legal in the procurement process for events, including raising purchase orders, detailed tracking of progress, and regular updates to the Regional Director and Event Lead.
  8. In line with the Central Support team, support implementation of event staff travel and uniform coordination.
  9. Ad-hoc travel to events to fulfill onsite support roles as needed.
