About the Role

The JBS Northern Shipping & Docs team is currently recruiting a Documentation Manager to join the business in a permanent full-time position.

Reporting to the Logistics Manager, the Documentation Manager is responsible for coordinating export documentation needed to comply with regulatory requirements of Australian Customs, importing countries and customer specific needs.

Specific export documentation may include health certificates, packing lists, invoices, certificates of origin and bills of lading.

This role is also responsible for leading and developing a hard-working team of twelve (12).

Key Responsibilities
  • Oversee all export documentation for the markets/vessels, which includes:
    • Oversee Bills of Lading;
    • Oversee health certificate;
    • Oversee invoices, packing list;
    • Oversee Certificates of Origin;
    • Bank Drafts and Lodgements;
    • Letters of Credit.
  • Ensuring any other documents (customer or country requirements) are completed as required;
  • Allocating ship files to the team accordingly;
  • Monitoring vessel ETD's and prioritizing work load;
  • Emailing/faxing completed documents to customers and then lodging them at the bank or back to the coordinator;
  • Meeting KPI's in relation to the completion of documents and payment of invoices;
  • Problem solving any issues that arise in regard to documents;
  • Filing and storage management;
  • Overseeing data governance and ensuring regulatory compliance;
  • Building a competent, capable and committed team to meet current and future organisational needs;
  • Hiring, training/developing, leading and coaching team members.
About You

Previous experience in a similar Documentation role as well as an understanding of export shipping processes;

Highly organised and detail-orientated with extensive experience in document control and administrative/clerical support;

Ability to identify basic cause & effect relationships;

Ability to respond calmly in difficult situations whilst maintaining a strong customer service focus;

Exceptional ability to prioritise and multi-task;

Strong computer skills or the ability to rapidly acquire the skills needed with ERP systems;

Excellent attention to detail;

Ability to work in a fast-paced environment;

Demonstrated ability to work autonomously as well as within a team environment;

Energetic, passionate and enthusiastic with a demonstrated focus on system improvement.
