Role Overview

This is a competitive role with a salary range of $80,000 - $100,000 per year, depending on experience. We offer upskilling, training, mentoring, and more to support your career development journey.

Key Responsibilities
  • Visitor & Call Management: Greet all visitors professionally, ensure they are signed in, and direct them to the appropriate staff. Answer and redirect all incoming calls efficiently.
  • Mail & Courier Handling: Collect, sort, and distribute all incoming mail and courier parcels daily. Ensure timely handover and provide tracking details as needed.
  • Building & IT Coordination: Maintain accurate building pass data, liaise with the building manager, and work with IT to ensure office equipment is fully operational.
  • Meeting Room & Office Management: Assist with setting up and booking meeting rooms, manage stationery orders, and oversee kitchen supplies and maintenance.
  • Communication Hub: Act as the central point of communication for office updates, building works, and safety notices.
  • Administrative Support: Manage invoicing, secure bin collections, visitor sign-in systems, and more.
  • Safety & Compliance: Serve as a fire warden and first aid officer, working with the Safety Committee to ensure the building meets all safety requirements.
Requirements
  • Excellent phone manner, professional oral communication skills, and the ability to communicate effectively with people at all levels. Strong written communication skills, with the capacity to manage conflicts and handle stressful situations calmly.
  • Intermediate IT skills, including data entry and familiarity with end-user environments like Windows, macOS, and browser tools.
  • Strong organizational skills with the ability to prioritize tasks, meet deadlines, and maintain attention to detail. Knowledge of customer service principles and practices, and a proactive approach to managing workloads.
