We are seeking a proactive and organised Secretary to support the Department of Intensive Care Medicine. In this pivotal role you will provide high level administrative and secretarial support to senior staff, manage reimbursements and TESL documentation, maintain HealthRoster in collaboration with Staff Specialists, and coordinate competing priorities. As the first point of contact for the department, you will oversee reception and telephone enquiries, ensuring smooth communication and operational efficiency. The role operates under broad supervision and requires initiative within NSW Health and NBMLHD policies and procedures.

What you will bring to the role

- Demonstrated ability to work in a busy, complex department with strong organisational skills to manage priorities and meet deadlines.

- Capable of working autonomously, using initiative, and multitasking while maintaining attention to detail.

- Experience with HealthRoster and understanding of medical rostering practices.

- High‑level verbal and written communication abilities, with a commitment to confidentiality and discretion.

- Skilled in Microsoft Office applications (Word, Excel, Outlook) and quick to learn new systems.

- Willingness to work collaboratively and adapt to changing responsibilities, including relieving the Executive Assistant to the Director of ICU.

- Familiarity with electronic purchasing and reimbursement systems such as iProcurement and iExpenses.

- Competent in preparing agendas and accurately minuting meetings within a healthcare setting.
