Scheduling and Administration Officer – Fixed Term (Full Time or Part Time)

Employment Type: Fixed Term, Full Time or Part Time

Location: Perth Office

Remuneration: $35.20 – $36.30 per hour (depending on experience)

Contract: Ends 30 June 2026, possibility to extend.

Responsibilities

- Provide back-up reception support, greeting visitors and assisting with calls when required.

- Coordinate flights, accommodation, and bookings for team members.

- Oversee team email inboxes and provide responses appropriately, or delegate to the appropriate team member.

- Support internal events such as Training Weeks and Christmas functions.

- Assist with induction scheduling, new starter paperwork, and internal communications such as newsletters or announcements.

- Manage office supplies and procurement across all HelpingMinds sites.

You’re a highly organised and approachable professional with a passion for providing excellent administrative support. With at least two years’ experience in a similar role, you’re confident managing multiple priorities while maintaining attention to detail and confidentiality. You bring strong communication skills, a proactive mindset, and the ability to adapt quickly in a busy, team-oriented environment. And you’re passionate about making a difference and working in the NFP sector.

Qualifications

- Minimum of Cert IV in Business or Administration

- Minimum 2 years’ experience in an administrative or office support role

- Proof of Australian Work Rights

- Current Driver’s Licence & a reliable vehicle

Additional Requirements

- National Clear Police Clearance (within 6 months)

- Working with Children Card
