About the Role

We are seeking expression of interest for an entry-level Trainee Payroll Administration Assistant for a casual contract position with client Ventia based in Carrington, NSW.

As a Payroll Assistant, the purpose of this role is to ensure the efficient support to Supervisor, Payroll, HR, and employees in regards rosters and time sheeting requirements across the NSW Schools Cleaning Contract, in all regions. As well providing ongoing education to all in regard to the Award.

Key Duties & Responsibilities
- Assist with validating weekly payroll for all wages employees, in accordance with established processes and guidelines, to prevent payment errors, in accordance within time frames agreed between the Contract and Shared Services (as required).
- Assist with maintaining a high-volume inbox by sorting into categories and attending to pay queries and requests for information in a timely manner as agreed between the Finance Team and the Operational Team
- Be the first point of contact in the rostering hot-line and conduct the phone conversations in a professional manner. Ensure issues are resolved within a timely manner as agreed between the Finance Team and the Operational Team. Follow up with Cleaners and Supervisors as required to resolve the issue.
- Act as a point of call for all wages employees, resolving payment errors and preventing recurrence
- Assist with casual verification.
- Follow up on over-payments in accordance with the procedure once initial over-payment letter has been created.
- Sending out HR letters to employees and archiving them according to procedure.
- Assist with validation of employee contract changes requested by Supervisors; forward accurately completed forms to HR and Payroll.
- Following up on terminating and new employees to ensure they get paid accurately and in a timely manner in accordance with the award.
- Assist in aspects of implementation of time and attendance system.
- Reconcile Leave request and Medical Certificates are received to ensure correct SL payments.
- Proactively review BAU processes and systems, identifying areas of opportunity in efficiency, effectiveness, customer service or profitability.
- Support team members during periods of planned leave, providing support and assistance to new and/or replacement team members.
- Any other related duties and ad-hoc projects as requested from time to time.
- Assisting and supporting others within the Finance team.

Skills & Experience required:

- An ability to provide exceptional customer service skills with the focus on the employee as the customer.
- An ability to provide education and training to both Supervisor and Employee on current processes.
- An ability to work flexibly and adaptively in a complex environment with multiple stakeholders.
- Flexible attitude to working hours to meet deadlines and demands.
- High Level of attention to detail, initiative, analytical and problem-solving skills
- Ability to learn quickly when facing new situations and open to change.
- Demonstrated high levels of mental resiliency.
- Ability to how to navigate and do simple tasks in the Microsoft office suite (excel, word, outlook).

**Requirements**:

- Able to obtain and maintain a National Police Clearance Check and Working with Children's Check.
- Valid Driver's Licence and own reliable transport to get to and from site.
