**About the opportunity**:
We have an exciting opportunity for a motivated and detail-oriented Reception / Administration Assistant to become a key part of our dynamic team.

This role supports daily office operations by managing reception duties, administrative tasks, kitchen coordination and general office coordination. This includes prompt, courteous and effective communication, both written and verbal, with internal and external stakeholders to ensure the smooth and effective administration of the Tradeflex offices.

**Key responsibilities**:

- Present as the face of Tradeflex as part of our Front of House team, delivering outstanding customer service and welcoming staff and clients to our offices. Answer and direct phone calls, take messages, and field/answer all routine and non-routine questions.
- Provide a full range of administrative and executive support to the Tradeflex management team.
- Coordinate functions and events at 101 Collins Street, Melbourne.
- Support and assist with the day-to-day business administration activities, including data entry, reporting, client support and coordination of service providers.
- Maintain office protocols and procedures to enable a professional, high-performance workplace.
- Manage and coordinate travel arrangements and bookings as requested.
- Establish processes, procedures and guidelines that maximise the use and usability of our workspaces for the highest level of efficiency, effectiveness and professionalism.
- Assist in the design and coordination of team events, including Christmas party, Client Lunch and Dinner events, as well as bespoke client engagement events/activities.
- Work alongside managers and admin staff to coordinate meetings including board room reservations and organisation of catering.
- Manage and order workplace supplies (stationary, consumables, kitchen supplies, etc).
- Other administration duties as required.

**About you**:

- Certificate in Business Administration is desirable.
- Proven experience in a similar role as a receptionist or administration assistant.
- Comprehensive knowledge of business and administration practices.
- Experience with general administrative tasks, such as preparing documents, handling correspondence and assisting team members.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
- Demonstrated proficiency in business writing and verbal communication skills using correct grammar
- Familiarity with telephone systems, office equipment (e.g., photocopiers, printers), and general office software.
- Ability to manage competing deadlines, multiple tasks in a demanding work environment.
