**The Role**

The Team Assistant
- Travel, Events & Facilities is a true office all-rounder well suited to someone who likes variety in their day and a fast-paced environment. This role oversees our global travel bookings, internal and external event organisation including running the socical committee, general office facilities and other projects as required and team admin support. Reporting to our Executive Assistant to the Group CEO, this position is a valuable support to our global team whilst helping to maintain a great working environment, company culture and employee experience.

You will have outstanding attention to detail with an ability to work independently and effectively with teams and stakeholders that are geographically distributed. Your ability to confidently make decisions and use your initiative to problem solve will enable your success in the role.

**Requirements**:
**Your days will include, but will not be limited to**:

- Be the lead in the day-to-day relationship between Pepperstone and Collins Square property management; and communicate updates with stakeholders and the wider Melbourne team as required while ensuring office maintenance occurs
- Ownership of the global travel booking platform, international and domestic travel bookings and follow up.
- Liaising with third party providers to maintain office facilities and equipment
- Coordinate grocery orders and 'Thirsty Thursdays' weekly drinks in the office
- Proactively order general office supplies, and order and maintain Pepperstone merchandise liaising closely with Marketing
- Assist with external and in-house office event organization or team initiatives across a number of teams including People & Culture, Marketing & Sales
- Work closely with our Sales and Marketing teams to develop an external calendar of events

**To be successful, you will have**:

- Excellent time management and organizational skills
- Excellent attention to detail
- Previous experience in organizing travel and events
- Proven ability to maintain discretion and confidentiality
- Sound communication skills (verbal and written)
- Ability to arrange, challenge and agree basic terms with third party providers
- Competent with computer, Microsoft office and general technology
- Proactive, and able to think on your feet
- Ability to question, challenge and take on directions from a number of stakeholders
- Able to complete physical tasks in maintaining office environment
- Previous administrative experience supporting a team
