First Step is a renowned for-purpose addiction, mental health, and legal services hub in the heart of

St Kilda supporting over 1,500 people each year. First Step has a team of General Practitioners,

Registered Nurses, Nurse Practitioners and Allied Health workers, all of whom have decades of

experience in addiction medicine including the prescription of Opiate Substitution Therapies.

illnesses including mental ill-health and prioritises welcome, empathy and hope. Through the

First Step is a thought leader in the area of co-occurring illnesses and service integration

contributing to journals and research and being the lead agency in the Victorian Department of

Health’s Integrated Care Pilot.

**THE PRACTICE MANAGER**
Reporting to the Operations Manager, the Practice Manager will be responsible for all aspects of

the smooth, day-to-day functioning of the clinic. The Practice Manager will manage all reception

staff (3) and ensure that the administrative team supports all clinical and non-clinical staff to

provide the best possible service to our patients.

**CRITERIA**
**Essential**:

- Previous experience in a management and/or a high-level practice administrative position
- Experience in accounting systems.
- Experience in payroll and legislated employment conditions.
- Excellent time management and administrative skills
- An understanding of medical terminology
- An ability to demonstrate and encourage leadership and teamwork.
- The ability to work with other stakeholders and build relationships.
- Excellent communication and documentation skills
- Competency in the management of appointments for clients and staff.
- Current CPR certificate or be prepared to obtain.
- Be committed to the confidentiality of First Step and First Step Legal
- Current Working with Children Check and Police Check

**Desirable**:

- Previous experience in Medical Director and Pracsoft
- Working knowledge of windows-based software systems
- Experience in Xero would be advantageous.
- Detailed understanding of Medicare benefits schedule
- Knowledge of Royal Australian College of General Practitioner requirements
- Experience or understanding of AGPAL accreditation standards.
- Diploma of Practice Management or equivalent
- Work with the Operations Manager and Accountant across the payroll and other financial

requirements.
- To ensure that all Medicare billing and processing is performed daily and that all claims are

reconciled and completed.
- Develop and/or maintain in conjunction with the Operations Manager and CEO a suite of

practice policies and procedures.
- Ensure consumables and equipment are kept stocked and maintained to manufacturers

standards and conditions.
- Oversee the practice and ensure a clean, tidy, and safe workplace.
- Work with the Operations Manager to ensure accreditation compliance.
- Keep the teams IT knowledge of the practice IT systems up to date.
- Assist reception in maintaining a focus on good quality procedures when dealing with

clients.
- Encourage employee motivation, professional development, and job satisfaction.
- Be involved as required in risk management and quality improvement processes.
- Exercise a duty of care including meeting practice standards and accountability.
- Ensure that the services delivered, and records kept are of a high standard.
- Manage referrals, discharge summaries, results from other services to provide to Medical

Practitioners.

- Generous salary +12.5% Super Appointment status: Full-time Employee 38 hours per week,

3 year contract with 6-months' probation.
