Responsibilities
  • Review and verify invoices, ensuring the date and receipt of goods align with project documentation (e.g., site diaries, purchase orders).
  • Confirm quantities and rates against purchase orders or related project correspondence.
  • Accurately assign project-specific codes to invoices, ensuring proper allocation to the correct project, budget line, and cost category.
  • Generate purchase orders where necessary, ensuring all invoices are correctly coded and ready for approval.
  • Submit batches of invoices to the relevant Cadet or Contracts Administrator (CA) for review and approval.
Concrete Usage and Billing Tracking
  • Review concrete invoices for accuracy, cross-checking rates, quantities, surcharges, and invoices against pour plans or mud maps.
  • Maintain and update the concrete register for each project, ensuring accurate tracking of forecasted vs. actual concrete quantities.
  • Monitor additional charges such as wastage, testing, levies, and surcharges.
  • Collaborate with the Contracts Administrator to track concrete usage and resolve any discrepancies between invoiced and received quantities.
Payment Schedule Management
  • Manage the creation and distribution of payment schedules on a monthly basis, ensuring alignment with project cash flow.
  • Upload payment data and related documents into the Procore system for tracking and reporting.
Skills and Qualifications
  • Strong attention to detail and accuracy in invoice coding across multiple projects.
  • Exceptional organizational and time-management skills to handle coding and financial tasks across several projects simultaneously.
  • Proficiency in using Procore or similar project management systems.
  • Excellent communication and collaboration skills with the ability to work across teams and projects.
  • Previous experience in construction administration is preferred, but not required.

  • Onsite: Philexcel, Clark
  • Hours: Monday to Friday, 6:00 AM - 3:00 PM
