Project Administration Assistants play a pivotal role in ensuring the smooth operation of projects. They are responsible for reviewing and verifying invoices, confirming quantities and rates against purchase orders or related project correspondence, accurately assigning project-specific codes to invoices, and generating purchase orders where necessary.

Responsibilities
  • Review and verify invoices to ensure accurate allocation of costs to specific projects, budget lines, and cost categories.
  • Confirm invoice quantities and rates align with purchase orders or relevant project documentation.
  • Audit and assign project-specific codes to invoices, ensuring proper tracking and reporting.
  • Generate purchase orders when necessary, guaranteeing all invoices are correctly coded and ready for approval.
Concrete Usage and Billing Management
  • Verify concrete invoices for accuracy, cross-checking rates, quantities, surcharges, and invoices against pour plans or mud maps.
  • Maintain and update concrete registers for each project, ensuring accurate tracking of forecasted versus actual concrete quantities.
  • Monitor additional charges such as wastage, testing, levies, and surcharges.
Payment Schedule Coordination
  • Manage creation and distribution of payment schedules on a monthly basis, ensuring alignment with project cash flow.
Essential Skills and Qualifications
  • Strong analytical skills and attention to detail in invoice coding and financial tasks.
  • Excellent organizational and time-management skills to handle multiple projects simultaneously.
  • Proficiency in using project management systems, such as Procore.
  • Effective communication and collaboration skills to work across teams and projects.
  • Prior experience in construction administration is advantageous but not required.
