Pay Rate / Experience Level:Junior / 3+ years industry experience
Duties & Responsibilities:
- Provide general services and organizational support to the Project / Client Management as required
- Guarantee general services duties and an efficient service to the Project/Client Team
- Daily update SIDAC
- Update travel IN & OUT file
- Courier coordination
- Receive, distribute and post mail
- Maintain and update the reception procedures
- Book accommodation for visitors, ensuring cost monitoring and adherence to procedures and agreements
- Support the preparation of reports and presentations using appropriate software
- Arrange travels
- Check passport and visa requirements and arrange necessary paperwork
- Process project, travel, expenses, if required
- Guarantee data uploading in the dedicated Information Systems
- Support activities for Information System implementation
- Assist in preparing and managing all type of documentation as required
- Support in preparing reports and data analysis
- Capability to support the employee in the arrangement of accommodation/guest house and in the arrangement of business international travels, handling also complex itineraries for long period through various countries
- Coordinate on reporting on General Services
- Manage general Services annual costs and relevant budget
- Monitoring and communication with payroll regarding amounts to be recouped from employees
- Issue purchase requests and work orders for goods and other materials necessary for general services
- Ensure Expatriates Accommodation and Health insurances are organized in a timely manner.
- Other duties as required by HR team.
