POSITION DESCRIPTION - EAE Business Support Officer
**Purpose
**The purpose of the Business Support Officer role is to provide business support and high level
administrative assistance across the Engineering, Assets and Environment Division. The officer will work
under general direction of the Manager Engineering, Assets and Environment, and will exercise a degree
of autonomy and judgement within prescribed areas with assistance available when required. This
requires extensive business support across a large number of varied projects in a number of business
units. The administrative role associated with the position includes assisting with meeting corporate and
department reporting requirements and carrying out a variety of project and business administrative
functions.

Sound communication and organisational skills and the ability to maintain productive relationships with
internal and external stakeholders will be vital to this role.

Key outcomes

  • Provide exceptional customer service to external and internal stakeholders.
  • Dealing with responding to customer complaints, general correspondence and files (including the
preparation and coordination) relevant to the division and in accordance with Council's customer
request and records management systems.

  • Coordinate relevant correspondence in respect to customers maintaining appropriate
communication protocols and processes and ensuring all relevant documents are recorded on

Council's records system.

  • Meeting preparation, distribution of agendas, room set up, recording, and distributing of minutes
ensuring all agendas and minutes conform to corporate standards.

  • Developing project documentation and provide Divisional administrative support.
  • Assist with and contribute to the management and maintenance of work area databases and key
performance indicator (KPI) reporting.

  • Supporting the delivery of business engagement activities including updating website and social
media posts.

  • Managing the receipt of invoices and ensuring their prompt processing.
  • Thorough knowledge of computer operations and programs and business champion for
introduction of new technology systems used by the division.

  • Contribute to the development and implementation of policies, procedures, and continual process
improvement.

  • Undertake research, analysis and writing correspondence as required.

Essential Requirements

  • High level of proficiency in computing skills including word processing, spreadsheets, and data
bases.

  • Sound letter writing skills.
  • Ability to work with others to achieve organisational, team and business outcomes.
  • Willingness to undertake duties with particular focus on Customer Service.
  • Sound knowledge of Customer Service principles and procedures.
  • Time management and organisation skills to ensure deadlines are met.
  • High level of interpersonal and communication skills to resolve external customers and staff
enquiries either by phone, in person or by written correspondence.

  • Experience in a Personal Assistant or similar role.
  • Administration and clerical experience.

Qualifications

  • Certificate in Business Administration. (or willingness to undertake).
