Administration Officer - MCC

Purpose
The Administration Officer - MCC role is designed to be an agile resource to respond to Organisational
and Customers' needs through providing effective and efficient administrative and business support to The
Marion Cultural Centre. The position will work across all functional units within the Recreation & Cultural
Facilities Unit and provide support across the City Property Division as required.

Sound communication and organisational skills and the ability to maintain productive relationships with
internal and external stakeholders will be vital.

The Marion Cultural Centre (MCC) Administration Officer provides high level administrative assistance
within the MCC and Recreational and Cultural Facilities Unit. This position requires the officer to work
under general direction but also exercise a degree of autonomy for the efficient and continuous
improvement of operational systems, processes, and administrative functions.

This role includes but is not limited to coordinating venue, achievement of income targets, coordinating
hire catering, monitoring building maintenance and cleaning schedules as well as monitoring and reporting
venue performance targets and marketing effectiveness.

Key Responsibilities and Outcomes

  • Coordinating venue hire to ensure achievement of income targets, coordinating catering
requirements for external and internal hires

  • Liaising with artists / organisations to complete performance contracts, procurement,
promotional plans and additional event requirements

  • Reporting, maintaining and actively monitoring building maintenance and cleaning schedules of
the facility

  • Reporting on and monitoring venue performance against targets
  • Contribute to marketing plan of the venue and measuring marketing effectiveness with users
  • Provide exceptional customer service to external and internal stakeholders.
  • High level business support including but not limited to the following activities:
  • Managing customer enquiries both over the phone and face to face; coordinating
appointments.

  • Meeting preparations, distribution agendas, room set up, recording, and distributing of
minutes ensuring all agendas and minutes conform to corporate standards.

  • Dealing with responding to complaints, general correspondence, and files (including the
preparation and coordination) relevant to the department and in accordance with Council's
record management policy and systems.

  • Venue hiring bookings and invoicing for facilities across the City of Marion, ensuring prompt
processing in line with hire conditions.

  • Undertaking administration tasks such as word processing, document storage, document
development and updating, data entry and associated reporting.

  • Undertaking venue policy and procedure monitoring including but not limited to Emergency
Management, Safety Data Sheets, Workplace safety and safework procedures.

  • Establish, maintain, and continually improve office systems and processes.
  • Coordinating venue hire invoicing and ensuring their prompt processing in accord of hire
conditions.
