We are also responsible for the venue services including mediation and arbitration bookings, as well as the hiring of the meeting and events facilities to external clients.

About the role

  • Devise a project plan for all events to ensure all associated tasks are completed to deadlines. Ensure all key stakeholders (both internal and external) agree and approve the project plans, and that roles and responsibilities are clearly defined.
  • Research and source venue and catering options for events and ensure briefing papers and recommendations are clearly and effectively communicated to stakeholders.
  • Liaise with and develop good working relationship with external venues and key suppliers, and negotiate sound and effective offers and agreements.
  • Manage and administer all approved costs associated with events. Maintain accurate budgets and administer the payments of suppliers within approved guidelines.
  • Ensure accurate and regular reporting of events information such as budget and associated costs, event attendance, and overall event success to key stakeholders.
  • Manage the performance of team members and conduct regular reviews.
  • Ensure direct reports receive adequate training, development and coaching in their roles.
  • Coordinate the team’s general workload and workflow to ensure external / internal customer satisfaction and optimum team effectiveness.

About you

  • At least five years’ experience in organising, planning and executing events and conferences within a corporate / professional environment.
  • Previous experience with managing a budget.
  • Proven experience in negotiating with external and internal clients and effective stakeholder management.
  • Demonstrated experience in working to tight deadlines with competing priorities.
  • Proficiency in Microsoft and Events Air (or similar applications).
  • Strong written and verbal communications skills.
  • Highly developed interpersonal skills with the ability to work with and command the respect of management and staff.
  • Excellent negotiation, influencing and problem-solving skills and ability to build strong relationships.
  • Excellent administrative skills and high attention to detail.
  • Ability to coordinate various projects simultaneously with often competing deadlines.
  • Able to think strategically, creatively and to take initiative.
  • High level of integrity, professionalism and motivation.
  • Ability to work both autonomously and as part of a larger team with multiple key stakeholders.
  • Behave in an honest and trustworthy manner and treat others fairly.
  • Display a commitment to quality client service, value the supplying of accurate and timely information and relate to people from diverse backgrounds.
