In Vitro Technologies is a Healthcare and Scientific distribution organisation who specialise in the sales, marketing, and support of medical products throughout Australia and New Zealand. 

ABOUT THE ROLE

We are seeking a Spare Parts Coordinator to manage the planning and coordination of all spare parts support and delivery across Australia and New Zealand for In Vitro Technologies. 

You will ensure the timely availability of parts for our internal customers, maintaining stock levels, and upholding compliance with inventory accuracy standards. Working closely with Customer Support, Field Services, Product Management, and Planning, you will also assist with various operational tasks, including call handling, order management, and scheduling jobs.

This role will involve collaboration across teams, national coordination of spare parts, and involvement in process improvement projects. You'll play a key role in optimising our spare parts processes and ensuring seamless parts delivery to our technician warehouses and state service centres.  

This role can be based out of Lane Cove, NSW or Noble Park, VIC.

KEY RESPONSIBILITIES

  • Manage and maintain spare parts lists for preventive maintenance (PM) contracts.
  • Coordinate national stocktakes for technician and state warehouses, ensuring accurate stock levels.
  • Monitor and expedite parts delivery times to meet internal process requirements and budget constraints.
  • Develop and implement improved processes for spare parts transfers and inventory management.
  • Liaise with suppliers and vendors to handle spare parts inquiries, returns, and warranty claims.
  • Collaborate with engineers and state managers to build and distribute preventive maintenance kits.
  • Monitor back-order reports and update jobs awaiting parts.
  • Assist in spare parts updates for technical databases and contribute to process improvement projects.
  • Provide backup support to the Service Administration team as needed.
  • Deliver exceptional customer service aligned with key performance indicators.

ABOUT YOU

  • Experience in spare parts coordination, supply chain, or a related field.
  • Highly organised and detail-oriented with experience in inventory management, logistics, or spare parts coordination.
  • Able to build effective relationships with internal teams and external suppliers.
  • Strong communication and collaboration skills across multiple departments.
  • Ability to manage stock levels, inventory accuracy, and delivery timelines.
  • Proficiency with inventory management systems and Microsoft Office Suite.
  • Proactive approach to process improvement and problem-solving.
  • Customer-focused mindset committed to delivering excellent customer service.
