Overview
The Tender & Proposal Coordinator serves as a pivotal contributor in the preparation and delivery of tenders, proposals, bids, and related documents. This role coordinates resources, manages schedules, and ensures submissions align with corporate branding and standards. The coordinator works with Proposal Managers, Subject Matter Experts, and internal stakeholders to compile, format, review, and produce professional documentation, and independently manages smaller proposals and renewals. Success requires strong organizational skills, attention to detail, and the ability to collaborate across teams and time zones, including ANZ, North America, Latin America, and potentially the UK. Excellent written and verbal communication skills are essential, along with the ability to interpret complex project requirements and evaluation criteria. The role also requires cultural awareness and sensitivity, especially regarding indigenous communities and public sector engagement to ensure compliant, respectful content.
Essential Functions
Work with Proposal Managers, Subject Matter Experts, and internal stakeholders to coordinate, develop, organize, and complete high-quality proposals from initiation through to production and delivery.
Review opportunity documents to evaluate requirements, contractual terms, and evaluation criteria for bid submission compliance.
Compile marketing materials, prepare qualification materials, and coordinate development of graphics and page layout design.
Coordinate the flow of information to meet internal and external deadlines and complete reviews.
Complete document formatting, editing, printing, distribution, and overall document reviews.
Develop internal relationships to foster timely responses while maintaining brand messaging and writing standards.
Prepare proposals for small deals (typically up to $50,000 annual contract value) and renewals in coordination with internal stakeholders and contributors; work with Proposal Managers on larger, more complex deals.
Implement quality control to ensure requirements and corporate standards are met.
Essential Skills
Advanced skills in Microsoft Word and large/complex document formatting.
Proficient in Microsoft Excel, Adobe Acrobat, Microsoft SharePoint, PowerPoint, and Salesforce or other CRM tools.
Familiarity with tender portals/supplier portals (e.g., VendorPanel, TenderLink).
Familiarity with Proposal Automation tools (e.g., Loopio) preferred.
Strong business writing, editing, and communication skills.
Attention to detail and accuracy; understanding of financial and legal terms and budgeting/scheduling.
Cultural awareness and sensitivity, especially regarding indigenous communities and public sector engagement.
Strong interpersonal, organizational, and time management skills; ability to work in a fast-paced environment with changing workload.
Stakeholder engagement and collaboration skills across diverse teams and priorities.
Comfortable working autonomously and remotely.
Experience/Credentials
Required: 1–2 years of government/public sector proposals and procurement processes; 1–2 years of strategic writing experience (templates, executive summaries, and technical/security specs); 1–2 years of proposals for small to medium opportunities (up to $50,000 ACV); post-secondary education in Business, Communications, or related field.
Preferred: experience in software or professional services; Proposal Management certification (APMP/Shipley); familiarity with WHS, anti-slavery and human trafficking laws, workers compensation, and indigenous, diversity, and sustainability policies relevant to ANZ proposals.

Salary: A$82,000 – A$90,000 per year.
