**Your new role**
AustralianSuper's Retirement Domain has been established to uplift the effort across the Fund to transform the way we think about retirement, working with key stakeholders to support the delivery of key strategic retirement initiatives, and providing thought leadership and collaboration with major industry participants and Government. Our objective is to give members access to the best possible retirement products, services and support and to create a better retirement system for all Australians.
The Retirement Executive Assistant provides professional administration support to the Chief and senior leaders within the Domain. This role establishes effective relationships with the Chief and senior leaders to ensure all administrative matters are managed efficiently and to facilitate the smooth running of the team and partnering closely with other Executive Assistants and Team Coordinators across the Fund.
**Some key responsibilities but not limited to;**
- Provide a high level of effective and confidential administrative management support to the Chief and where appropriate, support other senior leaders within the Group.
- Assist with the preparation, formatting and editing of department papers, presentations and reports (Excel, Word & PowerPoint.)
- Support senior members of the team with travel arrangements and approvals.
- Use initiative and judgment to ensure matters are dealt with expeditiously and appropriately.
- Assist with arranging conference events, coordinating attendance and associated matters.
- Support the financial management of the Group through invoice processing, raising purchase orders and assisting with credit card management for senior team members including monthly reconciliation.
- Identify and communicate opportunities for process improvement.
- Ensure working relationships, internal and external are built and maintained in a positive and cooperative manner, to ensure a positive and cohesive environment through which workflow efficiency and sharing of information / knowledge is maximised.
- Ensure a positive, professional approach towards all stakeholders, internal or external, to build rapport, build confidence and enhance the Fund's overall reputation. Contribute to the strength of the team by sharing information, working collaboratively, transferring skills and being supportive and flexible; working closely with other Executive Assistants and Team Coordinators across the Fund.
**What you'll need**
- Demonstrated experience providing executive assistance to senior leaders in a growing and changing environment.
- 7+ years previous experience working in a financial services, professional services or similar environment.
- Demonstrated ability to work under pressure, set and manage multiple conflicting priorities and meet specified timeframes.
- Strong stakeholder relationship skills including the proven ability to initiate, maintain and develop relationships with peers, with the objective of gaining cooperation and meeting timelines for the delivery of advice.
- Strong written and oral communication skills; including proven experience in dealing with confidential and sensitive issues and ability to develop and maintain rapport across all organisational levels.
- Demonstrated ability to manage a senior executive's office and administrative staff, co-ordinate tasks, set priorities, and operate independently. Excellent stakeholder relationship skills, proven ability to initiate, maintain and manage relationships with peers, with the objective of gaining cooperation and meeting timelines for the delivery of advice.
