We have a fantastic opportunity for an experienced Executive Assistant to join our Management team in Melbourne office.Primary Duties and ResponsibilitiesExecutive Support for Managing Director (MD) and Chief OperatingOfficer (COO)Diary and email management, ensuring timely scheduling and prioritisation of commitmentsReconciliation of monthly credit cards statements and processing of expensesDraft correspondence, memos and internal communicationsHandle incoming and outgoing correspondence in an appropriate manner, including internal and external mail, checking emails and responding when requiredPrepare presentations and reportsCoordinate travel and accommodation for MD, COO and Business Services as requiredAct as a liaison between MD/COO and partners, internal stakeholders and external advisorsProvide ad hoc administration support to the broader Business Services as delegated by the DirectorsMaintains cyber security at all times.
Cultivate an awareness of security risks, stay informed of latest cyber threats, instil best cybersecurity practises and take practical steps to protect the firm and client from cyberattacksAd hoc duties as and when requiredBoard, Equity Principal and All Principal MeetingsOrganise and manage logistics for Board, Equity Principal and All Principal meetings and conferencesPrepare and distribute meeting agendas, papers and supporting documentationLiaise with MD and COO to compile meeting agendas and minutesAttend meetings to record minutes and ensure timely follow-up on action itemsOrganise Annual General Meetings and meetings of associates corporate entitiesProvide company secretarial assistanceSupport for Chair as requiredEventsCoordination of firm-wide eventsParticipate in the Firm Social Committee and assist to coordinate events throughout the yearOrganise the Principal ConferenceOrganise the Annual Firm End of Year Function and Business Services End of Year FunctionSkills/KnowledgeStrong attention to detailExcellent written and verbal communication skillsProfessional and articulate telephone mannerExcellent time management and prioritisation skillsFlexibility and adaptability to changing priorities and work demandsAbility to work semi-autonomouslyPolished secretarial skills, including fast and accurate typingExcellent organisational and administrative capabilitiesAdvanced proficiency in MS Word for Windows PowerPoint, Excel and internetKnowledge of documentmanagement systems, particularly FileSite / iManage is desirableExperiencePrevious experience within a commercial law firm or business is essential4 + years' experience in a similar positionFurther InformationAny questions regarding the vacancy can be directed to Rhoda Siu on or .
