About The Team
When you join the Infrastructure Projects team, you'll join a group of professionals delivering Australia's future rail network. To help grow rail transport in Australia, the team is focused on ensuring the delivery of critical construction projects across the country, including implementation of our $1 billion Network Investment Program that we've developed with the Australian Government. Whether it's designing, building or maintaining crucial rail infrastructure, the team plays a pivotal role in our ongoing efforts to improve network resilience and keep the future of freight on track.
About The Opportunity
The Submissions Coordinator is responsible for coordinating the organisation's end-to-end shareholder submissions and shareholder engagement process; including maintaining the master documents, coordinating timely reviews of funding agreements, funding submissions, developing Grant applications, Board papers and reports, preparing Project Benefits Reports, liaising with relevant managers and ensuring all submissions are lodged by their due date.
The Responsibilities Include
- Proposal Management
- Research, outline, write, and edit content, working closely with various departments to understand project requirements.
- Gather information from subject-matter experts and develop, organize, and write procedure manuals, technical specifications, and process documentation.
- Develop content in alternative media forms for maximum usability, with consistent voice across all documentation
- Maintain quality control in production, typography + proof reading.
- Continuous Communication, keeping stakeholders informed with clear, transparent reporting.
- Ensure that all tasks are completed, and reporting is produced on time and to the required standard.
- Ensure compliance with ARTC's Safety Management System (SMS) and
- Environmental Management System (EMS) requirements, responsibilities, authorities and accountabilities.
- Any other requirements, as directed by the Project Services Manager.

- Understanding of document formatting and production, content creation and coordination.
- Excellent written and verbal communication skills, with a high attention to detail.
- High level drafting skills and the ability to source and develop organisation documents, templates.
- Able to translate complex information into simple, polished, engaging content.
- Write user-friendly content that meets the needs of target audience, turning
- insights into language for user success.
- Strong attention to detail and quality control.
- Ability to interpret project briefs and identify key requirements.
- Experience in managing and coordinating multiple stakeholders
- Ability to draft and proof text to create and maintain collateral.
- Excellent organisational and time management skills.
- Proficiency in relevant software such as Microsoft Office (Word, Excel, PowerPoint) and potentially desktop publishing software.
- Ability to work independently and as part of a team
Essential Selection Criteria
- Degree in Communications or relevant field strongly preferred.
- Strong communication skills, both written and verbal
- Strong presentation skills, able to explain concepts concisely and accurately
- Able to develop strong, cooperative relationships with project teams
- Creative thinking skills and ability to solve problems
- Ability to work collaboratively in a team environment, contribute to the culture of teamwork and take on shred responsibility for achieving results.
- Proven IT skills across MS Office and Project Controls systems
- Advanced organisational, administrative and communication skills.
