About the Role:
Stamford Plaza Melbourne is located in Little Collins Street Melbourne CBD close to conveniently accessible by public transport and less than five minutes away from Bourke Street Mall.
We are seeking a highly organised, proactive, and detail oriented Executive Assistant to provide high-level administrative support to the VP of Operations, Deputy General Manager and other senior leaders.
This role is pivotal in ensuring smooth day to day operations and enabling you to focus on strategic priorities.
You will be a self starter with exceptional communication skills, sound judgment, and the ability to anticipate needs in a fast-paced, dynamic environment.
You'll be trusted with sensitive information, complex scheduling, and critical projects playing a key role in optimising time, workflows, and communication.
Key Responsibilities:
Roles will include, but are not limited to:
- Manage calendars, including scheduling meetings and calls.
- Organise and prepare for meetings, including gathering documents and attending to logistics of meeting, including minutes taking and circulation
- Draft, review and send communications on behalf of senior management.
- Preparation of correspondence, letters, reports, agendas and presentations.
- Report collation and presentation development.
- Compile market research information (e.g. gathering industry information)
- Organise events such as workshops or conferences
- Coordinate hotel travel arrangements for arriving VIPs along with internal executive team
- Supporting strategic initiatives and special projects by coordinating timelines, deliverables, and stakeholders
- Serving as a trusted point of contact between the executive and internal/external parties
- Maintaining strict confidentiality and exercising sound judgment in sensitive situations
- Ad hoc administrative duties as required
About You:
You are a highly organized, proactive, and adaptable professional with a minimum of 3 years' experience in a similar Executive Assistant or high level administrative position. A background in hotel or hospitality is highly desirable.
You anticipate needs before they arise, communicate with clarity and discretion, and take pride in keeping things running smoothly behind the scenes. You're comfortable managing multiple priorities, staying calm under pressure, and supporting a busy executive with confidence and professionalism.
You're known for your attention to detail, proactive mindset, and ability to maintain confidentiality. You take initiative, handle ambiguity with ease, and bring a high level of emotional intelligence to every interaction.
