Operating in a fast-paced and dynamic environment, the position will suit an individual who is proactive, responsive and adaptable to change, as well as outcome-focused and seeking challenges that enable them to contribute to solutions in a creative and collaborative way. The Executive Assistant plays a pivotal role at Tenants Victoria, providing comprehensive support to the Chief Executive Officer (CEO), as well as supporting management and board as required.
ResponsibilitiesThe successful candidate will possess the following experience and skills:
- Providing high level executive administrative support to CEO, Board Chair, and executive team, including meeting co-ordination, diary management, oversight of executive tasks.
- Prepare professional presentations, reports and documents using Word, PowerPoint and Excel.
- Preparation and distribution of meeting agendas, meeting minutes, and other papers requiring board approval. Follow up and coordination of action items.
- Collaboration with the executive team to drive and deliver on key projects that aim to introduce or improve existing processes, systems, service, throughout the business.
- Liaise with internal and external stakeholders including Executive Management, Ministers of Parliament and members of the Public.
- Handle confidential communications and sensitive matters with discretion
- Coordination and management of events, both internally and externally, eg AGM, staff functions etc.
- Support general office management and provide backup to the broader admin team when required
- Provide personal assistance to support the effective functioning of the CEO, such as scheduling appointments and preparing for external commitments (such as committee meeting preparation).
- Minimum 5 years demonstrated experience as an Executive Assistant or similar role.
- Mature, professional, and adaptable.
- High level of attention to detail and organisational skills.
- Ability to work independently and under pressure.
- Strong problem-solving skills and ability to think critically.
- Proficiency in Microsoft Office suite, including Excel, SharePoint, and Board software.
- Excellent interpersonal and written communication skills, with the ability to draft formal correspondence, as well as build and maintain effective working relationships with key stakeholders.
- Demonstrated ability to multi-task and be adaptable and flexible in a fast-paced environment.
- Excellent attention-to-detail attribute and problem-solving skills are essential.
- Be willing to undergo a national police background check.
