Play a pivotal role in a creative, design-led studio.
We're looking for a highly organised, detail-focused Project Administrator to join us on a full-time maternity leave contract (approx. 9 months). In this role, you'll support the delivery of innovative projects that shape the urban landscape.

The Role and Responsibilities
- Based at our Artarmon head office, you'll work closely with Project Managers, Designers and the wider team to ensure continuity and manage end-to-end project administration. This includes setting up new projects, coordinating financial documentation, tracking progress, preparing reports and supporting cashflow forecasting.
- This role is ideal for someone who thrives in a fast-paced environment, enjoys working across creative and technical teams, and takes pride in keeping projects running smoothly.
Responsibilities include:
- Prepare and submit invoices, pay claims, and supporting compliance documentation.
- Maintain invoicing schedules and update third-party platforms (e.g. Payapps, Procore).
- Set up new projects and quoting jobs in internal systems (Workbench, Asana, HubSpot).
- Track and forecast project cashflow and analyse data for accuracy and project health.
- Support Project Managers and Directors with reporting, scheduling, resourcing, and end-of-month processes.
- Attend project meetings and maintain communication with key stakeholders and client finance teams.
- Assist with procurement tracking, job site preparation, and document control.
- Monitor and manage project securities, including bank guarantees and retentions.
- Keep project documentation, contracts, and maintenance records up to date.
About You:
- Tertiary qualifications in business administration, or equivalent experience.
- Minimum 3 years' experience in a similar project management or administration role
- High competency in Microsoft Excel skills (including formula functions, pivot tables, charts, filters, macros, etc).
- Ability to work well under pressure, juggle multiple tasks and meet tight deadlines.
- Strong data analysis and numerical skills
- Excellent communication (written and verbal) and interpersonal skills
- Highly organised with the ability to manage competing priorities and meet deadlines
- Self-motivated, proactive, and capable of working independently or in a team.
