Passive Fire Consultant/Administrative Assistant
1 day ago
About Us
On Time Fire is a specialist Passive Fire Contractor with over five years of experience delivering installation, inspection, and compliance audits across major commercial and infrastructure projects.
We pride ourselves on our technical expertise, strong ethics, and commitment to raising industry standards in fire safety and compliance. As our consultancy arm continues to expand, we are seeking a motivated and detail-focused individual to join our team in a trainee capacity — assisting our Accredited Passive Fire Certifier with documentation, reporting, and audit administration.
About the Role
This role combines administrative, technical, and analytical responsibilities within a growing consultancy. You'll support the auditing of passive fire treatments in an existing building — helping identify which systems have been used, assessing installation accuracy, and preparing documentation for corrective recommendations. This is a fantastic opportunity for someone starting out in engineering or building compliance who's keen to gain hands-on experience in a specialised field. You'll work closely with our senior consultants, learning how to evaluate passive fire protection systems, interpret technical standards, and support clients with real-world compliance solutions.
The position will suit a trainee engineer or university student who enjoys technical detail, writing structured reports, and contributing to meaningful compliance outcomes in the built environment.
Key Responsibilities
• Assist in the audit, documentation, and reporting of passive fire systems in accordance with the BCA and Australian Standards.
• Review drawings, photographs, and data to prepare draft reports for senior consultant review.
• Maintain and organise spreadsheets, data logs, and audit records.
• Identify potential non-compliances and prepare supporting documentation under supervision.
• Provide clear and structured written feedback under guidance from senior staff.
• Communicate clearly and professionally with project stakeholders.
• Support the senior certifier in ensuring projects are delivered on time and to a high standard.
• Manage documentation and handover processes in line with company procedures.
About You
We're looking for someone who is:
• Currently studying or recently completed a Certificate, Diploma, or Degree in Engineering, Building, or Construction (or similar).
• Intellectually curious, self-motivated, and eager to develop specialised technical knowledge.
• Highly attentive to detail, with strong concentration and accuracy.
• Skilled in Microsoft Excel and comfortable working with digital data systems.
• Clear and confident in written and verbal communication.
• Reliable, ethical, and capable of working methodically and independently.
• (Preferred) Holds a current Class C driver's licence.
Experience in the passive fire or construction industry is an advantage, but not essential — full training will be provided.
What We Offer
• Comprehensive on-the-job training and mentoring from experienced consultants.
• Exposure to real-world projects and industry-standard compliance systems.
• Supportive, collaborative team culture with an emphasis on learning.
• Flexible working arrangements within standard office-based operations.
• Modern facilities and technology.
• 6-month paid contract with potential to transition to a permanent full-time position.
Application Details
Only shortlisted applicants will be contacted.
Applications are open to Australian citizens and permanent residents only
