About The Victorian Perinatal Autopsy Service (VPAS)
VPAS is a collaboration between the Women's (Lead service), Monash Medical Centre and Mercy Hospital for Women (and their associated laboratory services). VPAS provides perinatal autopsies for the Victorian community. The VPAS team, based at Chelsea House, opposite the Women's, is responsible for the coordination of the autopsy as well as the governance of the service, and ensuring consistent standards of practice and expertise for the clinical investigation of perinatal deaths across the state.
About The Role
As the Administration and Data Officer you will play a crucial role in supporting our team with a blend of administrative tasks and support.
Key Responsibilities Will See You
- Work collaboratively with the VPAS team and laboratory staff to provide the coordination aspects of the service
- Support the management and daily maintenance of our database, filing systems, archives, document register, invoicing and meeting preparation
- Manage shared emails and calendars
- Support the ongoing development of the VPAS database and utilise this and other digital tools to track and record autopsy data
- Participate in service evaluation and support systemwide capacity-building activities and clinical education
While perinatal autopsy can at times be a confronting environment to work in, this role provides a wonderful opportunity to support clinicians, laboratory staff and families during a difficult time. Investigating perinatal deaths assists bereaved families in understanding their loss and contributes to improving the health of future mothers and babies.
About You
You will be someone who is comfortable working within the sensitive environment of perinatal death, and are able to maintain a calm and professional demeanour in challenging situations. You'll have excellent communication and interpersonal skills, including the ability to build and maintain strong, collaborative working relationships with a diverse range of stakeholders.
You'll Bring With You
- Certificate III (or higher) in Business Administration, and/or a minimum of two-years' relevant administrative and customer service experience
- Advanced computer literacy and proficiency in all MS Office 365 programs, especially Excel and Sharepoint for managing meetings, projects and tasks
- Proficiency in telephone and switchboard skills, and the ability to de-escalate episodes of concerning behaviour from others
- The ability to manage data in excel, with excellent data entry skills and attention to detail
- The ability to plan, prioritise and time manage in a challenging operational environment
