The Admin Assistant supports the Executive Officer (EO) in the smooth running of day-to-day operations, events, communications and member engagement activities. This role is ideal for someone who thrives in a dynamic environment, enjoys variety, and has strong organisational and people skills.

Key Responsibilities

  • Administrative Support

  • Provide diary and inbox management for the EO.

  • Assist with scheduling meetings, preparing agendas, and following up on action items.
  • Maintain accurate records, databases, and documentation.

  • Event Coordination

  • Support the planning and delivery of networking events, business awards, and round tables.

  • Manage RSVPs, venue bookings, supplier coordination, run sheets and event communications.
  • Attend events and assist with set-up, pack-down and guest support where required.

  • Member Engagement

  • Assist with member onboarding, renewals, and general enquiries.

  • Maintain and update the membership database, mailing lists and website directory.
  • Help create and distribute member communications and newsletters.

  • Communications & Marketing

  • Coordinate email campaigns and event promotions using tools such as Mailchimp.

  • Assist with promotional content, including liaising with sponsors, partners and media.

  • Project & Office Support

  • Support grant and sponsorship reporting, data entry, and research tasks.

  • Coordinate small projects under direction from the EO.
  • Help manage Chamber resources and office supplies.

Key Skills & Attributes

  • Excellent communication and interpersonal skills.
  • High level of organisation, time management, and attention to detail.
  • Ability to work independently, take initiative and problem-solve.
  • Comfortable juggling multiple priorities in a fast-paced, community-focused role.

Desirable Experience

  • Previous experience in an administration, events, marketing or executive support role.
  • Familiarity with tools like Canva, Mailchimp, Trybooking, and CRM systems.
  • Experience working in a business or not-for-profit environment.
