Operations Administrator

My client is looking for an experienced Operations Administrator to join their well respected family business based in Kewdale starting in mid January
Some of the duties and responsibilities are listed below General office administration and reception duties.
- Assist with the coordination of my clients personnel ensuring they meet the relevant site criteria for each individual customer location.
- Maintain and file all the equipment and training records ensuring all
equipment and employee certificates and licenses are up to date. - Prepare, maintain, publish and file all the records supporting all
operational activities as per quality process and management needs. - Assist the Regional Operations Manager and the HQ Operations Administrator with
data collection and input. - Assist the QOSHE Manager with data collection and input.
Administration
- Answer incoming phone calls in a timely manner
- Manage the visitors sign in book and badge
allocation. - All office equipment is well maintained and in
working order. - Stationary cupboard is always well stocked with
highly used items. - Ensure office, toilets and kitchen remain tidy.
- Order and manage office support consumables.
- Organize building maintenance as requested.
- All delivery dockets checked and filed correctly
within two working days. - All courier consignment notes to be signed on
delivery.
Operational
Reception & General Administration
- Recording of equipment daily Pre-start check
forms, Service Register (s/s) Fleet Register (s/s)
and maintain Training Matrix. - Contractor Management annual compliance.
- Maintain hazard register and audit & inspections
for Kewdale Depot in Stems. - Purchase orders to be created as requested in
EPOS. (To be approved by email by the relevant
manager - managers email request must include
the Req No) - All onboarding to the required standard.
- Book airfares and accommodation as required.
Customer - Help complete Customer Pre-Qualification forms.
Return to customers in a timely manner.
Site Mobilisation
- Zero issues with personnel or equipment gaining
access to customer locations (induction, licenses
and VOC's. - Liase with Logistics Coordinator and Logistics
Administrator to ensure correct equipment is
available and can be mobilised within acceptable
timeframes. - All equipment documentation (Compliance) is up
to date, no equipment refused entry to a
customer location.
Quality & OHSE
- Good understanding of Stems safety management system for recording and reporting OHSE information.
- Demonstrate a working knowledge of
procedures, forms and meetings relating to
your area of responsibility and ensure your
area meets the required standard. - Maintain all Quality Assurance documentation
that is relevant to your area of responsibility. - All filing meets the audit standard.
- Participate as required in daily Operations
Team Communication Meetings
Certificate IV in Business Administration and previous experience providing personnel and equipment to and from site mobilisation services will be highly regarded.
