The Opportunity

360 is looking to employ a full time Medical Services Administrator to join its busy Medico Legal group in Nedlands.

The Position

The Medical Services Administrator plays a pivotal role in overseeing the administration and operational services to support 360 and the Management Team.  The role requires a high level of administrative skills and quality customer service. Key aspects of the role are to manage the Company Hello mailbox, process website bookings, assist with front line telephony, liaise with 360 specialists and external stakeholders all while ensuring a smooth running of workflow process.

Duties and Responsibilities:

  • Efficient and effective management of the company outlook mailbox i.e. triage all emails within an effective timeframe, process website bookings, booking appointments, responding to all referrers and specialists
  • Assists with managing incoming phone calls as well as other general correspondence
  • Provides professional, polite and friendly customer service at all touch points
  • Assist with monitoring inventory of office supplies and the purchasing of new material with attention to budgetary constraints;
  • Provide filing and document management support to the 360 team

You will need the following skills and attributes:

  • Proven experience working in a professional environment (it is not necessary to have have medical or legal experience but an advantage)
  • Second-to-none attention to detail and organisational skills
  • Well-developed communication skills
  • Ability to work autonomously as well as in a team environment
  • A mature approach to your work in handling sensitive information
  • The ability to multi-task, use your initiative and follow tasks through to completion
  • Excellent computer skills including the ability and willingness to learn new software programs. Experience with the medical software GENIE/Gentu is preferable
  • Share point, Excel, MS Word, PDF editor, O365 and Outlook competence.
  • Experience with Permanent Impairment Assessments/WorkCover WA matters an advantage
  • Tertiary qualifications an advantage
