About the role

Yanada Women's Health Pty Ltd is looking for a full-time Medical Secretary and Receptionist for a specialist Gynaecology practice for a FIXED TERM of 9 months to join our team. In this full-time position, you will be responsible for providing exceptional administrative support to a solo Medical Specialist with practice across multiple locations.

The successful candidate will be working as the solo secretary in a streamlined paper free practice. Clinic to Cloud software used in this practice.

Flexible start date in early to mid- November 2025 depending on level of prior experience, and training requirements.

Location

You will be working from the medical practice in Bondi Junction, NSW on the clinic days; and from our office in Randwick, NSW for the rest of the week.

Training and Orientation

Will be provided by the current practice manager.

What you'll be doing

  1. Greeting and welcoming patients to the practice in a friendly and professional manner
  2. Answering and screening incoming phone calls, directing enquiries appropriately
  3. Scheduling and managing patient appointments across multiple locations
  4. Preparing and maintaining accurate electronic medical records and patient files
  5. Assisting with the coordination of medical tests, referrals, and prescription requests
  6. Providing general administrative support to the medical team as required

  7. Ensuring the reception and waiting areas are well-presented and organised

  8. Chaperone for medical examinations. This is a mandatory requirement. Training and guidance will be provided.

As the face of the practice and the first point of contact for our patients, you must have an outstanding telephone manner, and excellent verbal and written communication skills.

What we're looking for

  1. Dynamic personality with attention to details and an ability to work in a semi-autonomous role
  2. Excellent communication and interpersonal skills, with a friendly and professional demeanour
  3. Strong organisational abilities and attention to detail
  4. Proficiency in medical terminology and administrative software (e.g. patient management systems) is desirable. Training will be provided if no prior experience.
  5. Ability to work efficiently and maintain confidentiality of sensitive patient information

  6. A commitment to providing high-quality customer service and supporting the overall patient experience
