Purpose

The Institutional Client Services Coordinator is an integral member of the Institutional Client Services team providing functional and administrative support for Charter Hall's investor relations activities across wholesale pooled funds and partnerships.

This role will be internal and external facing, benefiting with someone with strong organisational and communication skills, and the ability to partner closely with external and internal counterparts such as Investment Management teams, Registry, Marketing, IT, Risk and Compliance on achieving superior outcomes for new and existing listed and wholesale investors.

The Institutional Client Services Coordinator is expected to perform all duties and responsibilities as detailed in this job specification in an efficient, courteous, proactive and professional manner.

What you'll be doing

  • Diary, calendar and email management for the Head of Institutional Client Services and Senior Institutional Client Services Executive

  • Organising internal/external meetings for the team especially with investors, asset consultants and brokers

  • Assist with the preparation of investor presentations and asset tour packs , collating information from various sources across the business

  • Assist the team with updating results and marketing presentations as required using Powerpoint

  • Arrange domestic and international travel for the Institutional Client Services team

  • Assist the team with maintenance of data rooms for capital raisings by ensuring documents and access lists are update to date

  • Assist with the management of the CRM database wholesale investors by ensuring all information is accurate, up to date and creating CRM analytics on an on-going basis

  • Undertake expense reconciliation in the expense management system (Workday) for the Head of Institutional Client Services, Senior Institutional Client Services Executive and  Head of Institutional Client Services -Asia

  • Create purchase orders and process invoices using Charter Hall's procurement and payment portal - Tradeshift

  • Organisation of agendas, and regular attendance / minute taking at internal  and Institutional Client Services meetings with internal teams

  • Assist with the organisation of marketing roadshows and property tours including travel and logistics, marketing material and background investor information including briefing books

  • Assist with reviewing and updating of the corporate website and intranet by ensuring website content are accurate for the pooled funds

  • Working with the CHC internal event team, coordinate for client functions, conferences and team building workshops, volunteer and social events

  • Maintain Responsible Manager training records for the Head of Institutional Client Services and send to the Compliance team each quarter

  • Utilise your strong administrative skills to support process improvement and delivery of deadlines

  • Support ad-hoc projects and tasks as required
