Retail Delivery Coordinator – Downtown Toyota (Lytton)

Downtown Toyota is seeking a Retail Delivery Coordinator to join our dynamic Pre-Delivery Department. In this pivotal role, you'll help ensure our guests receive their new Toyota vehicles on time, perfectly prepared, and with a smile. You'll be the link between our Sales, Service, and Pre-Delivery teams—keeping communication seamless and every detail covered.

What We're Looking For
  • Previous experience in a dealership or automotive coordination role preferred
  • Strong organisational and communication skills
  • Confidence in liaising across departments and managing multiple priorities
  • High attention to detail with accurate data and paperwork management
  • Customer-centric mindset with a proactive, can-do attitude
  • Familiarity with Pre-Delivery Control (PDC) systems or similar
  • Basic understanding of Toyota vehicles, accessories, or aftermarket coordination

Your Key Responsibilities
  • Coordinate retail vehicle deliveries in collaboration with the Pre-Delivery and Retail teams
  • Liaise with Service to schedule rework, accessories, and aftermarket bookings
  • Manage and invoice job cards across Retail, Used, and Fleet vehicles
  • Organise vehicle arrivals, third-party builds, and Downtown truck deliveries
  • Maintain up-to-date records in PDC, track KPIs, and forecast delivery outcomes
  • Ensure all delivery paperwork and compliance requirements are met
  • Communicate directly with guests to schedule and confirm deliveries
  • Participate in daily stand-ups and contribute to continuous improvement initiatives
