About the role

Our Patient Services Officers (Medical Secretary) are the first point of contact for our patients, playing a vital role in providing guidance, support and administrative services to our patients and medical professionals.

The position is generally full time, however part time hours (3-4 days/week) are available for the right candidate, and the role involves:

Patient Communication & Support

  • Answering calls and directing inquiries in a professional and courteous manner
  • Booking appointments and assisting with scheduling and maintaining accurate patient records
  • Providing basic information about ENT services and fees

Administrative & Financial Coordination

  • Processing referrals, correspondence, quotes, invoices, and payments
  • Managing patient financial records and debt collection
  • Theatre bookings and liaison
  • Maintaining accurate patient data entry and general correspondence
  • Assisting with the coordination of patient flow and clinic operations

Team & Clinic Support

  • Acting as the central hub for patient coordination
  • Collaborating with medical, nursing, and finance teams
  • Upholding confidentiality and professionalism at all times

About You

We're looking for someone who is:

  • Experience - Proven experience gained over at least two years in a medical secretary or administrative support role within a healthcare or medical environment
  • A Successful Communicator – Excellent communication and interpersonal skills, with the ability to liaise effectively with patients, clinicians and other stakeholders
  • Organised & Detail-Oriented – Strong organisational and time management skills, with the ability to multitask and prioritise effectively
  • Empathetic & Patient-Focused – Understanding of the compassion required to make our patients feel cared for
  • Tech-Savvy – Proficient in Microsoft Office and comfortable with administrative systems
  • A Team Player – Collaborative, adaptable, and capable of working independently when needed
