Role Overview:

We are seeking a diligent and organized Sales Order Administrator to join our dynamic team.  This role is pivotal in ensuring the seamless processing of customer orders and supporting the sales team.  The successful candidate will excel in administrative tasks, customer service, and maintaining meticulous records to facilitate efficient operations.

Key Responsibilities:

  • Order Entry & Processing: Accurately enter and process customer orders, ensuring all details are thoroughly captured.
  • Timely Processing: Adhere to key performance indicators (KPIs) for prompt and precise order processing.
  • Sales Administration: Manage administrative tasks including email correspondence, document filing, and customer inquiries with professionalism.
  • Customer Service: Provide exceptional service via telephone or email, addressing customer inquiries and requests efficiently.
  • Job Card Production: Generate job cards and manage orders involving magnets, ensuring accurate production requirements.
  • Product Design Sheet Management: Ensure that each job card is accompanied by a Product Design Sheet (PDS) or manage documentation as required.
  • Additional Support: Perform additional functions as assigned, including ERP maintenance and customer support.

Qualifications and Skills:

  • Organizational Skills: Proficiency in managing multiple tasks and maintaining an organized workflow.
  • Time Management: Skill in meeting deadlines and performing under pressure.
  • Communication Skills: Excellent verbal and written communication abilities.
  • Customer Service: Strong customer-focused mindset with a commitment to delivering exceptional service.
  • Computer Proficiency: Experience with MS Office Suite and familiarity with order processing systems or CRM software.
  • Problem-Solving Skills: Capability to address issues and implement solutions effectively.
  • Teamwork & Adaptability: Ability to work collaboratively and adapt to evolving priorities.
  • Integrity & Confidentiality: High ethical standards and careful handling of sensitive information.

Education and Experience:

  • High school certificate of education or equivalent required
  • Previous experience in a sales support or administrative role preferred.
  • Proficiency in MS Office Suite.
