Are you highly organised with a passion for events and AV? We're looking for a Crewing & Project Coordinator to play a central role in delivering seamless audio-visual projects across Australia.

This is an exciting opportunity to join a fast-paced, award-winning events environment where no two days are the same.

As the
Crewing & Project Coordinator, you'll be responsible for coordinating technical crews and managing logistics for a wide variety of AV events. From scheduling and supporting crew to ensuring equipment and transport run smoothly, your role will be key in ensuring stress-free and successful outcomes.

Key Responsibilities

Crew Management

  • Schedule and book internal and freelance crew for all projects and events
  • Maintain a database of crew availability, skills, and certifications
  • Act as the main point of contact for the crew regarding scheduling, travel, and logistics
  • Manage crew timesheets and reports for payroll and project billing
  • Oversee crew training sessions and ongoing recruitment

Logistics & Equipment Coordination

  • Coordinate allocation, preparation, and transport of AV equipment
  • Work with the warehouse team on freight, testing, and loading gear
  • Manage vehicle bookings and routing for equipment and crew transport
  • Handle cross-state logistics including flights and accommodation

Communication & Administration

  • Partner with Account Managers to ensure smooth client service post-sale
  • Build and maintain strong client relationships pre- and post-event
  • Resolve logistical or scheduling issues proactively
  • Maintain accurate records, including budgets, run sheets, bookings, and expenses
  • Provide general operational and administrative support
