This exceptional company is a leading events supplier in Melbourne. They are seeking an experienced Event Crewing and Project Coordinator to join their team, working with casual crew and managing projects.
Position Terms:- Full-time permanent role
- Hybrid working 3 days a week in the office
- Salary: $75,000 - $80,000 plus super
- Experience managing and scheduling event crews and team members is essential
The Event Crewing and Project Coordinator will report to the Director and will be responsible for coordinating technical crew and managing logistical equipment for events. Key responsibilities include:
- Crew Management:
- Scheduling and booking internal and freelance crew for all projects and events, ensuring the right skills and experience
- Maintaining an up-to-date database of crew availability, skills, and certifications
- Serving as the primary contact for crew scheduling, travel, and onsite logistics
- Managing crew timesheets and work reports for payroll and billing
- Scheduling training sessions for crew
- Recruiting internal and external crew during weekdays to keep the crewing database current
- Logistics and Equipment Coordination:
- Collaborating with clients and warehouse team on AV equipment allocation, preparation, and transport
- Coordinating freight with the warehouse to ensure gear is prepped and loaded on time
- Managing vehicle bookings and routing for equipment and crew transport
- Handling logistics for cross-state events, including flights and accommodations
- Communication, Administration, and Reporting:
- Working with Account Managers to manage client services and event logistics
- Building and maintaining strong client relationships
- Identifying and resolving logistical or scheduling issues proactively
- Maintaining accurate project records, budgets, run sheets, and expense tracking
- Gathering feedback from clients, team members, and crew for continuous improvement
The ideal candidate will have experience in the events industry, particularly in scheduling roles. Experience with an Event Supplier is highly desirable. Essential skills include:

- Excellent time management
- Strong communication skills
- Conflict resolution and problem-solving skills
- Flexibility to work outside normal hours when needed
