About the role

As a Document & SharePoint Coordinator, you will be responsible for managing and maintaining controlled documents in alignment with ISO standards, ensuring they remain accurate, compliant, and accessible. You will oversee version control and the full document lifecycle, working closely with subject matter experts to develop, manage and update Ampol Group Technical Standards.

A key part of the role includes maintaining and enhancing Asset Operations SharePoint sites through managing permissions, metadata, libraries, and workflows to support evolving business needs. Additionally, you'll provide user support, generate reports, assist with internal and external communications, and deliver general administrative support to the Asset Operations team.

Key responsibilities

  • Maintain, control, and ensure compliance of technical documents in alignment with ISO 19475 and ISO 9001 standards.
  • Develop and enhance document management systems and workflows using SharePoint and Power Automate.
  • Collaborate with subject matter experts (SMEs) to create, revise, and publish Ampol Group Technical Standards.
  • Manage SharePoint configuration, permissions, content organisation, and user support/training.
  • Support reporting, internal and external communications, and general administrative duties for Asset Operations.

About you

You are a detail-oriented and proactive professional with a solid background in document control and expertise in SharePoint systems. A driven self-starter who finds satisfaction in streamlining systems, and organising information, With advanced Microsoft Office skills and a strong focus on process optimisation, you ensure documentation remains current, compliant, and easily accessible by managing version control and lifecycle processes

A confident communicator, you work effectively both independently and in team settings, and you're comfortable training others on system use.

Your ability to navigate complexity while aligning your work with broader business objectives supports continuous improvement and operational excellence.

Key skills and experience

  • Proven experience managing controlled documents in line with ISO 9001 and ISO document control principles.
  • Strong SharePoint expertise including libraries, lists, metadata, workflows, and permissions setup.
  • High-level proficiency in Microsoft Office, with advanced knowledge in Word, Excel, and the creation of document templates.
  • Excellent communication skills with a proactive, self-starter attitude and ability to train and support users.
  • Comfortable engaging with stakeholders at all levels of the business and confident in clearly explaining systems and processes.
  • Formal qualifications in Business Administration, Information Management, or related field highly regarded
