Job Description

About the role:

To act faster, make better decisions, and serve customers better, our Data, Analytics & AI team leverage data analytics and artificial intelligence to drive insights and decision-making; helping us drive growth through improved operations and innovation. n.

As a Project Coordinator, you'll be working closely with the Data, Analytics & AI leadership to support various projects, contributing to research, analysis and coordination and managing project documentation, coordinating key meetings and events – including engaging with internal and external stakeholders to collate updates and capture issues that are arising. You will provide high-level administrative support, meeting coordination, and ad-hoc tasks that may be required to enable the team to operate effectively and at pace.

You'll take us further by:

  • Assisting with project planning, tracking progress, managing project documentation, coordinating project meetings and events, and communicating with stakeholders.
  • Providing high-level executive support including managing calendars, scheduling meetings, and coordinating travel and logistics
  • Providing general administrative support including organising and facilitating leadership and priority project meetings and events, including scheduling meetings, recording minutes and decisions and tracking actions
  • Undertake administrative tasks, including assisting in organising recruitment tasks and onboarding new team members, ordering resources e.g. equipment., track expenses and costs
  • Proactively preparing emails, presentations, reports, and documentation.
  • Scheduling and coordinating internal and external meetings across time zones.
  • Handling sensitive information with discretion and maintaining confidentiality.
  • Communicating with stakeholders and keeping them informed of project progress
  • Assist with creation/maintenance of project documentation in line with Ampol's project management methodology, maintaining project information in Ampol's project tool and project reporting.
  • Liaise with program/project managers, other team members and vendors to determine progress of deliverables. Identify issues and escalate as necessary
  • Support the financial administration of Project/Programs utilising ERP systems such as SAP to raise POs, Good Receipt, and extract reports
  • Use solid organisational skills, including multitasking and time management to ensure team activities are done in a timely manner, and project deadlines are met

Qualifications

We'd love it if you have:

  • Excellent time management, organisation, communication and interpersonal skills and ability to deliver results on deadlines.
  • Experience/exposure to Project Management terms like RAID, RACI and methodologies like Waterfall, Agile
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook & Teams) and Atlassian Suite (JIRA and Confluence)
  • Experience with project management software and collaboration tools.
  • Ability to work independently and as part of a team.
  • Adaptability and the ability to handle a fast-paced environment with competing priorities.
  • Ability to think innovatively, solve problems, and adapt to a fast-paced environment
  • Discretion and confidentiality.
  • Proficient in project scheduling and managing stakeholders of all levels of the team.
